OCI Application Rejected or Returned Common Mistakes Australians Should Check

Diwali 2026 falls on Sunday 8 November. If you’re flying home for it, three documents decide whether you board. A valid OCI card, a valid Indian passport, and an e-Arrival Card submitted within 72 hours of landing. Check all three now — September, not the week before you fly.

Flights out of Melbourne and Sydney for the Diwali fortnight fill early. So do appointment slots for Indian consular services in Australia. The paperwork is the part people leave until last, and it’s the part with the longest queue behind it.

At Bharat Suvidha we prepare and check Indian consular paperwork for people right across Australia, so here’s the version worth acting on this week: what each of those three documents needs, and the order to do them in.

Work back from Sunday 8 November, not from your flight

The main Diwali day — Lakshmi Puja — is Sunday 8 November 2026. The wider five-day run goes from Friday 6 November through to Tuesday 10 November.

That’s roughly six weeks away.

Six weeks sounds comfortable. It isn’t. Add an appointment you can’t get for a fortnight, a document that has to come from India, or a photo that gets knocked back. If something on your OCI or passport needs fixing, you want to know about it now, while there’s room to fix it.

“OCI renewal” isn’t one rule — it depends on your age when the passport was issued

This is where most people get stuck, because the word “renewal” covers two completely different jobs.

India’s Ministry of Home Affairs publishes the rules on its OCI Services portal, and they split by age:

The portal asks for that upload within three months of receiving the new passport, and the upload service is free.

So for most working-age adults who’ve already done the post-20 re-issue, OCI renewal is a portal upload, not a new card. For a 21-year-old who just replaced a childhood passport, it’s a full application. Two very different lead times, one word.

Check which one you are before you assume you’ve got weeks in hand.

An OCI application from Australia now means an appointment and biometrics

If you do need a new or re-issued card, the process in Australia changed this year.

VFS Global runs the Indian Consular Application Centres here, and its own guidance for OCI services is a four-step sequence: complete the online form on the Government of India portal, work through the applicable OCI checklist, book an appointment and pay the centre’s service fee online, then attend in person.

That last step is not optional any more. VFS Global states that biometric enrolment became mandatory on 1 July 2026, and that “applicants must attend their appointment in person to enrol biometrics at the time of application submission”.

Postal lodgement is no longer how this works. We’ve written separately on what replaced postal OCI applications in Australia if you last applied under the old system.

At Bharat Suvidha we prepare and check your application so it’s complete and consistent before you lodge it – then you attend the appointment and submit it yourself. Call (03) 7049 0081 if you’d rather someone went through the checklist with you than guessed at it on a Sunday night

Indian passport renewal in Australia moved to new centres in July

If your Indian passport expires before or soon after your trip, that’s the first domino — an OCI re-issue needs the new passport number on it, not the old one.

Indian passport renewal in Australia now runs through six Indian Consular Application Centres: Adelaide, Brisbane, Canberra, Melbourne, Perth and Sydney. VFS Global announced the new centres in July 2026 and its passport guidance is direct: “You must submit your passport application at the Indian Consular Application Centre.”

Appointments are mandatory at every centre. Centres open Monday to Friday, 08:30 to 17:00.

One consequence is worth spelling out. If you need both a new passport and an OCI re-issue, they happen in that order, with a gap in between. Booking them as though they’re one errand is how people miss Diwali.

The e-Arrival Card is a 72-hour job — not a last-minute one

The last document is the one nobody has heard of until the week they fly.

India’s official visa portal says it plainly: “Foreigners and OCI Card holders can complete and submit the e-Arrival card online within 72 hours before their arrival in India at boi.gov.in or indianvisaonline.gov.in or via official ‘Indian Visa Su-Swagatam’ Mobile App. This is for arrival information, not a visa.”

Three things follow from that sentence.

OCI cardholders are named in it. Holding an OCI card doesn’t put you outside the system — the portal lists you inside it.

It isn’t a visa and it doesn’t replace one. An e-Arrival Card won’t rescue an expired OCI card or a passport with four months left on it.

The window is short. Seventy-two hours before arrival means you can’t do it a month out. Put a reminder in your phone for three days before you fly, and do it from home on good wi-fi rather than at the gate.

The High Commission of India in Canberra confirmed the digital option from 1 October 2025. The Consulate General of India in Melbourne has told travellers to complete the electronic card before entry. Our longer guide on India’s e-Arrival Card for OCI holders and Australian travellers walks through the form itself.

Frequently asked questions

When is Diwali in 2026?

The main Diwali day, Lakshmi Puja, is Sunday 8 November 2026. The five-day festival runs from Friday 6 November to Tuesday 10 November.

No. India’s OCI Services portal requires the card to be re-issued once, when a new passport is issued after you complete 20 years of age. For new passports issued up to age 20, and for those issued after you complete 50, you upload instead. A copy of the new passport and a recent photo, free, within three months.

The official Indian visa portal names “Foreigners and OCI Card holders” as the people who complete and submit the e-Arrival Card online. The window is 72 hours before arrival in India. Confirm the current position on that portal before your own trip — this rule has moved recently.

VFS Global’s guidance for Australia is that you must submit your passport application at an Indian Consular Application Centre, and appointments are mandatory at all centres. There are six of them: Adelaide, Brisbane, Canberra, Melbourne, Perth and Sydney.

Then the trip, not the paperwork, is what moves. Nobody outside the Indian mission can bring an appointment forward, and we won’t pretend otherwise. Booking early is the only lever any of us has.

Conclusion

You can reach Bharat Suvidha on (03) 7049 0081 or at info@bharatsuvidha.com.au, Monday to Friday, 10AM – 4PM. Documents are prepared remotely and posted out, with free doorstep delivery within Australia – no office visit, no queue

Diwali doesn’t move, and neither do consular appointment calendars. The difference between a relaxed November and a frantic one is usually a single afternoon in September spent checking three expiry dates and one age bracket. Do that this week, and the rest of it is just booking flights.
